How to Prepare a Clear, Model-Specific Solar Equipment RFQ

A useful request for quotation describes what you need, how much you need and where it must be delivered. PV.market’s RFQ form supports multiple equipment lines and shared commercial and logistics details, allowing a buyer to describe a single product requirement or a wider solar project package.

1. Identify the buyer and delivery country

Provide the requested contact details, business email, phone or WhatsApp number and country of delivery. Add the company name and buyer type where applicable. Keep the contact details accurate so questions about the specification or delivery requirement can be resolved with the right person.

2. Add a separate line for each equipment requirement

Select the category and subcategory, then choose or enter the brand and model or specification. Enter the quantity with its unit and use Add item for another requirement. Keep different module models, inverter types, battery configurations and BOS components on separate lines rather than combining them into an ambiguous total.

3. Describe the specification when the model is not fixed

For solar panels, include the required power range, dimensions or other project constraints. For inverters, describe the operating type, phase, AC output and battery requirement where relevant. For storage, identify the energy and power needs, intended configuration and compatibility documentation required. For BOS, provide the component or part number, ratings, dimensions and quantity as appropriate. State which requirements are essential and where alternatives may be considered.

4. Set out logistics and commercial terms

The form includes Incoterms, destination port or city, required delivery date, payment terms, target currency and a quote-needed-by date. Use these fields to distinguish when you need the quotation from when you need the equipment. In the notes, identify any documents, packaging or delivery details that must be addressed. Do not assume a displayed product location means freight or import charges are included.

5. Review the request before submitting

Check each model reference, quantity and unit, then review the line-item summary and contact details. Submitting an RFQ is an enquiry rather than a confirmed order. Review the resulting quotation for the agreed specification, availability, price, payment and delivery terms before making a purchasing commitment. If you are still comparing brands or equipment types, use the catalogue and brand directory to make the requirement more specific first.

Frequently Asked Questions

Can I request panels, inverters and batteries in one RFQ?
Yes. Use Add item to create a separate line for each equipment requirement. Enter the category, subcategory, brand or specification, quantity and unit for each line.
What if I do not know the exact model?
Enter the required specifications and project constraints in Model / Spec and the notes. State where alternatives are acceptable and which requirements must be met before a model is proposed.
What delivery information should I provide?
Give the country of delivery and, where known, the destination port or city, required delivery date and requested Incoterms. Identify any delivery or documentation requirements in the notes.
What is the difference between the delivery date and quote-needed-by date?
The delivery date states when the equipment is needed. The quote-needed-by date states when you need the commercial response. Enter both where timing matters to your procurement process.
Does submitting the form confirm my order or reserve stock?
No. An RFQ asks for a quotation. Confirm the offered model, availability, allocation, price, payment terms and delivery conditions through the resulting commercial agreement.
How should I describe inverter and battery compatibility requirements?
List the exact inverter and battery models if known, or describe the required system configuration. Request model-specific compatibility documentation rather than relying on matching brand names or headline ratings.
